Suspend new member applications, member updates & renewals
We understand that things don’t just “stop” – there will always be things going on such as new members who want to join, current members updating members and renewals to send (just to mention a few!). So, we have developed our process to keep the period from when we start the work to implement you to going live as short as possible.
To keep to your schedule, it is critical that by the date specified in your schedule you take the following steps:
- Remove your sign-up forms
- We recommend displaying a message letting potential new members know that you are migrating to a new system and that they will be able to sign-up starting on the date we are set to take Membee live.
- Remove the ability for members to update their information.
- We recommend letting your members know that you are migrating to a new system and that they will be able to be able to access their information on the date set in your schedule to send out the access emails (these are the emails that will allow your member to set up their login).
- Suspend the ability for members to renew.
- This includes sending out new renewals and accepting payment for outstanding renewals. We recommend displaying a message letting your members know that you are migrating to a new system and that renewals will restart on the day you are set to take Membee live
All content is due
This is the day all the content for your Membee implementation due. You will have already been sent a link to the project when you started your implementation that has all the details on what is needed including the ability to upload the information.
Completion of the tutorials are due
This is the day the the completion of the Membee tutorials are due to be done by. You will have been sent a link to the tutorials at the beginning of your implementation. Taking the time to complete this initial learning will be key to your success in using Membee!
You review the setup
These are the dates you will have to review the setup.
This review period is critically important as this is your chance to review and test Membee and its features. You’ll need to ensure that anyone else who will be working with you (ex. your board members) understand that they must complete their review during this period of time as it cannot be rescheduled.
We will be completing the revisions submitted following the end of this period. Any additional request for revisions submitted after this period will be your responsibility to complete after Membee goes live.
Requests for revisions are due
This is the day when all the revisions that you would like to have made are due by. As noted above, any further revisions will be your responsibility to complete after Membee goes live.
Membee goes live
This is the date Membee goes live!
You will have a call scheduled with your Membee Implementation Coordinator during which you will complete the following

- Make the changes make your new site live, please be sure to have the following ready.
- Your login to the site where your DNS is hosted
- The Login to your Google account
- Go over any questions that you have as you get started using Membee
- Review the next steps which will will generally include sending the emails to allow your members to set up their login and renewals for anyone who is due
- Help ensure all the Membee features we have implemented with you are live on your website.

Access & Renewal emails are sent to members
This is the day that when your Membee Implementation Coordinator will:
- Send renewal notices to members whose membership renewal is due (if applicable)
- Send out an email to your members so that they can set up their passwords and login. This allows them to access features such as updating their member information via their member profile, “members only” features such as event pricing, secured member directories, or secured site content etc.
You will receive an email from your Membee Implementation Coordinator once each set of emails have been sent that will include details on things such as how to re-run the process, fix bounced email addresses and resend, etc.
Post Implementation Support & Follow Up Calls
With all the hard work behind us, you can now confidently move forward with managing your organization using Membee.
The next 30 days are a crucial learning period, and to ensure your success in getting up and running, your Membee Implementation Coordinator will continue to provide exclusive support to your organization.
In addition, you will have scheduled a series of 15-minute calls so that we can do a quick check in with you to see how things are going and make sure everything is running smoothly.
